Google Calendar Permissions
Google Calendar permissions allow you to control who can see and edit your calendar events. There are four levels of permission:
View: This permission allows people to see your calendar events, but they cannot edit them.
Edit: This permission allows people to see and edit your calendar events.
Manage sharing: This permission allows people to share your calendar with others and change its settings.
Owner: This permission gives people full control over your calendar, including the ability to delete events and change its settings.
You can share your calendar with anyone, including people outside of your organization. You can also choose to share your calendar with a group by entering the group's email address.
Once you have shared your calendar, the people you shared it with will receive an email invitation. When they click the link in the invitation, they will be able to view your calendar events. If you have given them edit permissions, they will also be able to edit your calendar events. You can also change the permissions for a shared calendar at any time.
Google Calendar permissions are a powerful tool that allows you to control who can see and edit your calendar events. By using permissions wisely, you can ensure that your calendar is only accessible to the people you want it to be.
Setting Calendar Sharing Permissions
By default, your Google Calendar will show all details of your calendar to all of MedTrainer but if you would prefer to add some privacy to your events, you can do so from the Google Calendar settings.
Setting calendar details as private
The procedure below is for setting all calendar details as private where other users will only be able to see if your calendar shows “Busy” for scheduled events.
Open Google Calendar
Click the Settings icon near the top right of the page and click Settings to open the calendar settings.
On the left hand side, find the section titled Settings for my calendars and select the calendar with your name on it.
On this page, the section that controls whether a calendar is private or public is Access permissions for events. In this section there is a checkbox that reads Make available for MedTrainer with a permissions box to the right of it. By default, this will read See all event details. To make calendar details private, click the permissions box and change it to Show free/busy only (hide details).
Share calendar with specific users
When your calendar is set to hide details from MedTrainer, nobody (exept Google Admins) can view your calendar’s details. To share the details with a lead or manager, you can specify settings for specific people or groups at MedTrainer that should have full visibility or even write access to your calendar.
To set up sharing permissions, perform the following:
Open Google Calendar
Click the Settings icon near the top right of the page and click on Settings
On the left hand side, find the section titled Settings for my calendars and select the calendar with your name on it.
Click on the section titled Share with specific people or groups
To share your calendar click on the button that reads Add people and groups. From here add the users that you would like to give permissions to. There are 4 levels:
Show free/busy (hide details) - hides calendar details.
See all event details - this shows the users that are sharing your calendar the full details of your calendar.
Make changes to events - this setting allows the users to make changes to your events. This permission is useful in a variety of scenarios such as having an assistant that schedules meetings or for allowing managers to change events while an employee is on leave.
Make changes and manage sharing - this setting is basically the equivalent of delegating a calendar. The people or groups that have this permission will have full control over the calendar including who can see it and the events on it. This permission is best for shared calendars in groups that require visibility.
